When you use our website or work with us, we collect personal information so we can quote, place, and service insurance policies. We share that information with carriers and required service providers — never with marketers or list brokers. We never sell your data. We never share your phone number or SMS consent with third parties for any reason.

1. Who we are
PolicyNest KC, LLC ("PolicyNest," "we," "us," or "our") is an independent insurance agency licensed in Kansas and Missouri, and appointed to write business in additional states through our enterprise relationship with Pacific Crest Services, LLC ("PCS"). Where PCS appears as a co-broker, co-fiduciary, or carrier of record on your policy, both entities operate under this policy with respect to your information.
This policy applies to:
- policynestkc.com and any subdomain we operate
- Quote and intake forms, including declarations-page uploads
- Email, SMS, and phone communications you exchange with us
- Scheduled calls or meetings booked through our online scheduler
- Our chat assistant on the website
It does not apply to third-party sites we link to, or to insurance carriers once your application or policy has been transferred to them. Carriers operate under their own privacy policies, which we'll point you to on request.
2. What we collect
Information you give us
When you request a quote, ask a question, or buy a policy through us, you may give us:
- Contact information: name, address, email, phone, preferred contact method
- Household information: spouse and dependent names, dates of birth, and license details for any rated driver in your household (auto only)
- Property information: addresses, year built, roof age, occupancy, claims history
- Vehicle and asset information: year/make/model, VIN, ownership, usage
- Business information: entity type, industry, revenue, employee counts, job classifications, locations, claims history
- Health information: collected only for life, disability, and supplemental health quoting (tobacco use, height/weight, basic medical questions)
- Existing coverage information: your current carrier, renewal date, declarations pages, and any policy documents you upload
- Payment information: collected only when a policy is bound, and processed by the issuing carrier or a third-party payment processor. We do not store full payment card numbers or bank account numbers on our systems.
Information we collect automatically
When you visit our website we collect:
- IP address, browser type and version, operating system, and device type
- Pages viewed, time on site, referring URL, and outbound clicks
- Marketing attribution data (UTM parameters, referral source, the campaign or link that brought you in)
- Cookies and similar tracking technologies (see Section 7)
Information we collect from third parties
To prepare a quote or place a policy, we may receive information about you from:
- Insurance carriers and underwriters
- Motor vehicle records (MVR) providers
- Property loss history databases (CLUE, A-PLUS)
- Consumer reporting agencies and insurance score providers, governed by the Fair Credit Reporting Act
- The Medical Information Bureau (MIB) for life insurance applications
- Public records and other publicly available sources
We do not buy marketing lists or contact information from data brokers.
3. How we use it
We use the information we collect to:
- Prepare quotes and place coverage with appropriate carriers
- Service active policies (endorsements, claims support, renewals)
- Communicate with you about your inquiries, quotes, policies, and account
- Send transactional emails and texts you've requested or that are legally required
- Improve our website, intake forms, and the way we explain coverage
- Detect and prevent fraud, abuse, and security incidents
- Meet our obligations under state insurance law, federal financial-privacy law (including the Gramm-Leach-Bliley Act), and other applicable regulations
We use AI tools (including a document-parsing model and a website chat assistant) only to assist our licensed staff in serving you, and only within our own controlled workflows. We do not sell, share, or otherwise make your information available to third parties to train their AI models.
4. How we share it
Insurance is a marketplace business. To shop coverage on your behalf, we have to share your information with the carriers we represent. Here's exactly who we share it with, and why:
- Insurance carriers and underwriters: To obtain quotes, bind coverage, service policies, and process claims.
- Pacific Crest Services, LLC: Our enterprise agency partner, when PCS appears as a co-broker or carrier of record.
- Service providers we contract with: Hosting, email delivery, scheduling, document storage, CRM, customer support, and similar functions — all bound by confidentiality and data-use restrictions.
- Consumer reporting agencies and verification services: For underwriting and rating, as permitted by the FCRA.
- Errors-and-omissions insurers and legal counsel: If we receive a claim, complaint, or regulatory inquiry.
- Government agencies and regulators: Including state Departments of Insurance, when required by law or in response to valid legal process.
- Successors: If our agency is sold, merged, or restructured.
We do not sell your personal information. We do not rent it. We do not trade it. We do not share it with marketers, advertisers, or affiliates for their independent marketing purposes.
5. SMS and text messages
If you give us a phone number and consent to receive texts, we may send you appointment confirmations, quote-status updates, document requests, renewal reminders, and — only if you've opted in — occasional informational messages.
- Frequency: varies based on your account activity.
- Message and data rates: may apply from your mobile carrier.
- Reply STOP: to any message to unsubscribe. Reply HELP for help, or contact us at the email or phone number below.
- We do not share mobile phone numbers or SMS consent data: with any third parties or affiliates for marketing or promotional purposes. This information is excluded from any other sharing described in this policy.
- Carrier liability: carriers are not liable for delayed or undelivered messages.
You can withdraw SMS consent at any time without affecting other ways we communicate with you.
6. Email
We send transactional email — quote acknowledgments, policy documents, billing notices, service updates — using a third-party email provider acting as our processor. Marketing email, such as a periodic newsletter or seasonal coverage reminders, is sent only to people who have actively requested it, and every marketing email includes an unsubscribe link.
Unsubscribing from marketing email does not stop transactional or policy-related communications, which we are required to send while you have an active inquiry or policy with us.
7. Cookies and tracking
We use cookies and similar technologies for:
- Essential functions: keeping your intake form state, remembering your save-and-resume link, basic security
- Analytics: understanding which pages and product lines visitors use
- Attribution: measuring which marketing channels work
You can configure your browser to refuse cookies. Doing so may break parts of the site, including the quote form's save-and-resume function.
We do not currently honor "Do Not Track" browser signals, as there is no industry consensus on what they require. If that changes, we'll update this policy.
8. How long we keep your information
We keep your information for as long as you have an active policy with us, plus the period required by state insurance regulations and our errors-and-omissions coverage — typically a minimum of seven years after the last activity on your account. After that, we delete or anonymize records that are no longer required.
If you submitted a quote but never bound coverage, we retain your information for up to two years to support remarketing and follow-up, after which we delete or anonymize it unless you ask us to delete it sooner.
9. Your rights
You can ask us to:
- Access: the personal information we hold about you
- Correct: information that's inaccurate or incomplete
- Delete: your personal information, subject to legal and contractual retention requirements (we cannot delete records we are required by insurance law to keep)
- Opt out: of marketing email or SMS at any time
- Stop using: information we've collected for analytics or attribution
To make any of these requests, contact us at the address below. We'll verify your identity before responding and reply within 30 days.
If you live in a state with additional privacy rights — including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and others — those rights apply to you and can be exercised through the same contact.
10. Security
We protect your information using:
- TLS/SSL encryption for data in transit
- Encryption at rest for stored documents and database records
- Access controls limiting personal information to staff with a need to see it
- Multi-factor authentication on all administrative systems
- Periodic review of vendor security practices
No system is perfectly secure. If we ever experience a breach involving your personal information, we will notify you and the applicable regulators in accordance with state and federal law.
11. Children
Our website and services are intended for adults. We do not knowingly collect personal information from anyone under 13. The exception is dependents' names and dates of birth provided by a parent or guardian for the purpose of quoting family coverage — that information is collected from the parent, not the child.
12. Third-party links
Our website links to carriers, regulators, and informational resources. We don't control those sites and aren't responsible for what they collect or how they use it. Read their privacy policies before sharing information with them.
13. Changes to this policy
We may update this policy as our practices, our technology, or applicable law evolves. When we do, we'll update the "Last Updated" date at the top. Material changes — for example, a new category of sharing — will be flagged on our homepage for at least 30 days before they take effect.
